Habit #4 Update + 1 Month extension

It has been one month since I started my planning habit. Today I feel like I have more planning abilities but I know I can do more, so I am extending this month to another 30 days to have the time to practice other things. I’m going to talk about these things later on this post, but first let me give you a solid update on what I’ve learnt.

First, I managed to move all my projects and tasks to a new software application, things, which is a task management application available both for mac os x and iphone. I only use the desktop version because I tend to spend most of my time in front of my computer, and if I am out, I can easily make a list with my ipod touch.

I chosen to use this software because it allow me to assign tasks to projects, and to assign a due date, or to automatically schedule repeating tasks. This is really important for me because I have some tasks that I need to do each week or each month and this way, they come up on my list automatically.

I also use a calendar to keep track of events that happens on a particular day, like a birthdate, an appointment, etc. The main difference between my calendar and my tasks management application is that on the calendar I write tasks that happens on that particular day only, while on my tasks management application, I write tasks that can be done anytime.

That’s all I’ve done for this month about planning. It’s not much and that’s why I decided to extend this habit to another month.

Planning Habit Extension

While I feel more organized now than before, there’s still something missing. For example my planning system does not allow for me to decide what I’m going to do on a given day. Sure, I know I have n projects where I could work, but I don’t know which one is the most important. This is going to change!

The Improved System

I will keep the system I already developed in this month, but I’m going to add a few techniques. In particular I want to develop a system similar to the one of Benjamin Franklyn, where he used a calendar to decide how to work on different area of his life while maintaining balance. I highly suggest you to read the article I linked before to get an idea of the system.

Another thing I want to do, is to write down a list of 3-4 tasks every day that I want to accomplish. This list is particular because it must be on paper (less distractions) and it will be with me all the times.

I believe that this system, along with my collect and process habit, is adding a lot of value to my productivity.

    Let us know how this works out. I’m always on the lookout for good task management. I’ve heard good things about Things, but I’m not on a Mac (but hope to be some time in the next few months). Right now I use a combination of Evernote, my work email, and some days I list out tasks at nowdothis.com

    Things is brilliant. I’ve been a user form the beginning. If you have multiple computers you can sync your tasks easily with Dropbox too!

    have you heard of basecamp?

      Hi Joe, I use dropbox for syncing (was using iDisk but it’s not good for that)

      Regarding basecamp, I tried it, along with other web programs, and I also made my own (I am a computer programmer), but online software don’t work for me when it comes to task management.

      On the other side, I use tons of web applications, including campfire from 37signals when I work with other people.

        Good to hear, I am an avid fan of highrise too. One thing I learnt with my time with Things is that it is almost too easy.

        Allow me to explain. I read that one of the best ways to motivate yourself to do the things on your list is to everyday write down all the tasks you will do that day (with a pen a paper0 – bit like Franklin. It has a subtly different effect to typing it in and I found it works wonders for actually achieving the task I set out. try it yourself!

    Hey Oscar,
    It’s cool to see you’re becoming more productive. I really stick to that pen and paper to do list on a daily basis. It has done more for my productivity than anything else. I also have weekly and monthly lists, but the monthly ones can be hard to stick to sometimes as more urgent things can crop up.

    Totally support the writing of tasks down on paper. I have a master list that has all my tasks and at the beginning of each day I’ll circle a couple to focus on for the day. Definitely helps me focus and stay the course.

      Hi Michael, nice idea to highlight in some way what you want to do in a particular day. I know some people are also making a list for what they don’t want to do during the day, for example watching youtube etc.

    I don’t know if you’ve tried using Google Calendar yet. I use that and I love it…you should really try to out if you haven’t already.

    If you have a smartphone you can sync them and it makes life a whole lot easier.

    I just wrote down 4 things I need to do today, right before I started reading this post. I was glad to read that you do the same thing. I do it on paper too, less distractions and more visual for me. Cool post!

    Hey Oscar,

    Well I’m also half software half paper! If tasks end up behind schedule I’ll use the extra visual focus writing by hand provides for tasks I’m stuck on.

    Task breakdown works great too. Z Planner is great for that, although I get the impression it scares some people off.

    Hi Oscar,

    Do share with us your updates and I am looking forward to the results. I collect my tasks using pen and paper too. I find that it is much more easier and convenient because I can look at my tasks for the day without turning on the computer and the to-do application.

    Oscar, make sure you add Sept 30th to your calendar as a very important event. It’s my bday. ;)

    Oscar, you’re a smart man. I think you would gain a lot by the book “The Power of Decision” by Raymond Charles Barker. quite simply, the book has blown me out of the water. I think you would enjoy.
